Privacy Notice

Shuttershare facilitates sharing equipment used in media production. In order to do that, we need to collect and use certain information from our members. This notice explains what kinds of information we collect, the purpose for which that information is collected, how the information is used, how the information is retained, and how it is shared. In this notice, “we”, “us” and “our” refer to Shuttershare Inc.

We will not collect or use your information without your consent, and by using our services and providing us with your information, you indicate your consent to us to collecting your information as described in this notice. If you want to withdraw your consent to our further collection and use of your information, you can deactivate or delete your account with Shuttershare at any time.

It is important that your consent is informed, and that you know and understand how we collect, use, store, and share your information. That is why we have provided this notice. We may change this notice as our practices, products, and services change. We will endeavour to notify our members of major changes in advance, either by e-mail or notification via the Shuttershare platform or website, but you should also regularly check this page https://shuttershare.io/terms/privacy-notice for updates or changes.

Shuttershare's services are designed for users and members in Canada. If you are using Shuttershare's website or services from a country outside of Canada, your information may be subject to the privacy laws of that country, which may be different from and less protective than the laws of Canada.

Who is Responsible

Information about Eligibility and Identity

Why we collect it: our services are limited to people who live in specific areas, and who are over a certain age. To ensure the safety and security of our members and the equipment that they share, we use third party services to verify the identity of our members. These services have their own privacy policies about the information they collect, use, and retain.

What we collect: name, e-mail address, street address, and date of birth. Third-party services may provide us with an identifier for your account with that service (such as a username or account number). We may receive other profile information from third-party services with which you have an account; this information is controlled by and sent to us from those services, and is subject to those services' privacy policies. Our verification partner will provide us with the name that appears on a valid piece of government-issued photo identification.

We do not receive, collect, handle, use, or retain any information you provide directly to third-party services, such as usernames or other account identifiers, passwords, demographic information, or images of you or your identification.

When we collect it: we collect this information as part of the process when you sign up for your account. You can update your e-mail and street addresses at any time.

How we use it: we use this information to confirm your eligibility for membership, and to confirm that you are who you say you are.

How it is retained: we retain this information as long as you maintain your account with Shuttershare. We retain this information for a period of time after you deactivate or delete your account, so you can reactivate your account. We may retain some account information for longer periods for fraud-prevention, audit, or security purposes, or as required by law.

How it is shared: we do not share this information without your knowledge or consent, except as detailed in the “Law enforcement requests” section below.

Contact Information

Why we collect it: we need to be able to contact and communicate with our members in order to facilitate the sharing of media production equipment, and for administrative purposes.

What we collect: basic contact information including names, e-mail addresses.

When we collect it: we collect this information as part of the process when you register your account on the Shuttershare platform. You can update your e-mail address at any time.

How we use it: Shuttershare uses e-mail as its primary means of contact and notification. Shuttershare will display your first name on pages associated with your account.

How it is retained: we retain this information as long as you maintain your account with Shuttershare. We retain this information for a period of time after you deactivate or delete your account, so you can reactivate your account. We may retain some account information for longer periods for fraud-prevention, audit, or security purposes, or as required by law.

How it is shared: your first name is displayed on pages associated with your account. Otherwise, we do not share this information without your knowledge or consent, except as detailed in the “Law enforcement requests” section below.

Information about Media Production Equipment you List on Shuttershare

Why we collect it: in order to facilitate the sharing of your equipment, we need to know some details about your equipment.

What we collect: we collect details about your equipment including (but not limited to) its make, model, age, size, features, condition, and replacement value, as well as images or videos of the equipment. We will also collect the price at which you're offering to share your equipment.

When we collect it: we collect this information when you list a piece of equipment. You can modify or delete this information at any time.

How we use it: we display this information on various pages associated with the equipment, including search results. We may also use this information in case of loss or damage. We may also use this information for generating internal reports for administrative or other purposes.

How it is retained: we retain the information about a piece of equipment as long as it is listed on our platform, or longer, if required by law.

How it is shared: this information is displayed on various pages associated with the relevant equipment. We may share aggregated data derived from this information; see the “Aggregated data” section below.

Booking Information, and Information to Facilitate Pick-Up and Drop-Off

Why we collect it: to facilitate the pick-up and drop-off of shared equipment, and to ensure member safety.

What we collect: the date, time and location of meetings to drop-off and pick-up information.

When we collect it: we collect this information when members request and confirm a transaction.

How we use it: we communicate this information to the members who are picking up and dropping off the equipment. We also keep a record for safety purposes.

How it is retained: we will retain a record of each transaction as long as either member's account is active with Shuttershare. We may retain this information for a period after you deactivate or delete your account for safety reasons, or as required by law.

How it is shared: this information will only be shared with the members involved in the transaction, except in cases of emergency when information may be shared with the appropriate authorities, or as detailed in the “Law enforcement requests” section below. We may share aggregated data derived from this information; see the “Aggregated data” section below.

Information About User Experiences

Why we collect it: we collect reviews and ratings associated with members and equipment to allow our members to give feedback about their experience, and to allow members to make informed decisions about their use of our platform.

What we collect: we collect written reviews and numerical ratings about members and equipment.

When we collect it: we collect this information after each transaction on our platform, potentially including cancelled transactions.

How we use it: the reviews and ratings, as well as statistics such as average ratings are displayed on pages associated with the respective members and equipment.

How it is retained: the reviews and ratings are retained as long as associated member accounts are active or a piece of equipment is listed. We may retain reviews and ratings for a period after an account is deactivated or deleted, or after a listing is deleted, for fraud-prevention purposes, or as required by law.

How it is shared: the reviews and ratings, as well as statistics such as average ratings are displayed on pages associated with the respective members and equipment.

Tax and Regulatory/Government Information

Why we collect it: we may collect information from you to assist you with collecting or remitting taxes, dealing with regulators or other authorities.

What we collect: this could include financial and accounting information about transactions you have completed, including the number of transactions, as well as contact information.

When we collect it: we may collect this information at the time you create your account, when you list items, or when you complete transactions.

How we use it: we may create reports for you in various formats, or transmit the information to regulators or government authorities.

How it is retained: we will retain this information as long as required for the purpose it is collected (including audits), or otherwise as required by law.

How it is shared: we may share this information with you, or with your consent, with authorities or regulators, or without your consent, as detailed in the “Law enforcement requests” section below.

Transaction Information

Why we collect it: we require certain information to process transactions between members.

What we collect: we collect transaction details including items being shared, the dates and times of the pick-up and drop-off, and the price.

When we collect it: we collect transaction details at the time the transaction is confirmed by the members.

How we use it: we provide certain details to our payment intermediary so it can process the payment between the members. Our payment intermediary has its own privacy policy describing how it collects, uses, retains, and shares your information. We retain transaction details for each members' records.

How it is retained: we retain this information as long as an associated member account is active. We may retain some information for a period after an account is deactivated or deleted, for security, audit, or fraud-prevention purposes, or as required by law.

How it is shared: we provide certain details to our payment intermediary so it can process the payment between the members. Our payment intermediary has its own privacy policy describing how it collects, uses, retains, and shares your information. You can access the details of your own transactions. Otherwise we do not share this information without your knowledge or consent, except as detailed in the “Law enforcement requests” section below. We may share aggregated data derived from this information; see the “Aggregated data” section below.

Communication with Shuttershare and Other Members

Why we collect it: we facilitate communication between members, and we send and receive messages from members.

What we collect: messages (including pictures and videos) members send to other members, or to Shuttershare.

When we collect it: when members use the Shuttershare platform to communicate with other members, or with Shuttershare.

How we use it: when a member sends a message to another member, we display that message to the recipient. We store messages so members can access them at a later date. We may review, monitor, or analyze communications for spam, fraud, illegal content, or other abuse, and we may use automated systems to carry out this review, monitoring, and analysis.

How it is retained: we retain messages sent to Shuttershare indefinitely. We retain communication between members as long as the relevant accounts are active, and for an additional period in order to allow members to reactivate their accounts, as well as for security, audit, and fraud-prevention purposes, or as required by law

How it is shared: messages are available to their respective senders and recipients. Generally speaking, messages from members to Shuttershare will not be made public or shared outside Shuttershare without your permission. We may disclose messages to authorities pursuant to a valid court order, subpoena or warrant, if disclosure is urgently required to prevent serious bodily injury or serious damage to property, or as otherwise required by law.

Information About How You Use Our Service and Website Analytics

Why we collect it: we collect a variety of forms of information about how you use our website and service, so we can: operate and maintain our website and related network and computer systems; understand how our members and other visitors use our website and services; improve our services, and your user experience; tailor and customize your user experience. We also aggregate certain user data, as described in the “Aggregated data” section below.

What we collect: we collect information about how you use our services, including when you log in, which pages you visit, which equipment you view, and which search terms you use. Our system automatically logs some technical details when you visit our website, including network information and browser settings.

When we collect it: we collect this information as you visit our site and use our services.

How we use it: we use these data for technical purposes related to the operation, administration, maintenance, and security of our platform, website, network, and associated computer systems. We also use this information for business purposes including product development, marketing, security and risk analysis, administration, audit, regulatory compliance, and other uses. We also use this information to optimize, customize, or personalize your experience, and may use it to provide you with customized or personalized offers and communications.

How it is shared: we do not share this information without your knowledge or consent, except as detailed in the “Law enforcement requests” section below. We may share aggregated data derived from this information; see the “Aggregated data” section below.

Aggregated Data

We may share aggregated information (information about our members that we combine or process so that it no longer identifies or references individual members) and non-personally identifiable information for industry and market analysis, demographic profiling, marketing and advertising, and other business purposes.

Analyzing Communications and Information

We may review, scan, or analyze information you provide, including your communications via the Shuttershare Platform, for fraud prevention, security and risk assessment, regulatory compliance, investigation, product development, research, and customer support purposes.

Law Enforcement Requests

Your privacy is important, so we require a valid court order, subpoena, warrant, or other legal authorization before we disclose your information to law enforcement or other government authorities without your knowledge or consent. We may disclose your information without your knowledge or consent if it is urgently required to prevent serious bodily injury or damage to property, or in other, exceptional, emergency situations.

Third Party Services

Shuttershare uses third-party services to provide some of our platform's functions. Except as described in this notice, we neither provide nor receive anything more than incidental information from these third-party services. We do not receive, control, or retain the information you provide directly to the third-party services. These third-party services have their own privacy policies that describe and govern their use of your information; these third-party services may be located outside of Canada, and may be subject to the information and privacy laws of their home jurisdiction. You should review the privacy notices and/or policies of the third-party services to understand how they collect, use, store, and share your information. Shuttershare clearly indicates when you are using a third-party service. Some of the specific third-party service providers are:

Verification Partner

Social Login Partners

Security

  • We are continuously implementing and updating administrative, technical, and physical security measures to help protect your information against unauthorized access, loss, destruction, or alteration. However, the Internet is not a 100% secure environment so we can’t guarantee the security of the transmission or storage of your information.

Accessing Your Information and Contacting Us

  • You can review your information using our platform in many ways: you can view and edit your profile page, you can view and edit information about equipment you have listed on the pages for that information; you can view the details of your transactions on your profile page; you can view rating and rankings you have left, and ratings and rankings about you and your equipment on your profile page; you can use the Shuttershare platform to view messages you have sent or received. To access or review information associated with your account that has been automatically logged or collected, please contact support@shuttershare.io.
